Heritage Catalogue Fields and Descriptions

Record No. [ResourceID]

Unique number for each record.

Resource Ref. No. [Resource Identifier]

Reference number or formal identification to help locate the resource as specifically as possible within its "Resource Location" (e.g. catalogue no., class no., negative no., URL, ISBN, etc.)

Resource Location

The physical location of the resource, e.g. a named archive or library. More general than the "Resource Ref. No."

Item Name [Item Title]

Name or short descriptive title given to the resource.

Type of Object [Type]

The type of resource or object, genre or level of aggregation, e.g. collection, image, text, dataset, physical object.

Type Detail [Format]

More detailed than the "Type of Object", denotes the format, e.g. photograph, map, newspaper, animation, video clip, text, television program, sculpture.

Organisation

Organisation or body responsible for the creation of the resource

Collection Name [Collection Title]

Name given to a collection of resources or objects, which have meaningful links or elements in common.

Creator Surname

Surname of author or creator of the resource.

Creator Firstname

Firstname of author or creator of the resource.

Description

Description given to the resource, including an account of the content, e.g. table of contents, abstract, listing of items in a collection.

Start Date [Date Start]

Contains the year only. This is the earliest known date of the creation of the resource, where the resource spans a period of time. If the resource covers a single year, the start and end date will be the same.

End Date [Date End]

Contains the year only. This is the latest known date of the creation of the resource, where the resource spans a period of time. If the resource covers a single year, the start and end date will be the same.

Detailed Date [Date Detailed]

Specific date of the resource, if known, this may include day, month and year; month and year; or whatever elements of the date are known.

Period

The period of time to which the resource relates.

Notes

Additional information relating to the resource.

Text

Used where the record or resource itself is primary textual information.

Copyright

The body, organisation or individual owning copyright for the resource or object.

Publisher

Entity responsible for making the resource available, e.g. name of publisher, person, organisation, service.

Public Access

Indicates whether or not the resource is available for public inspection.

Contact Name

Name of the person, body or organisation to contact to arrange access to the resource.

Contact Details

Address, email and telephone number of the Contact Name.

Donor Name

Name of person, body or organisation who donated the resource or object to East Renfrewshire Council.

Source Ref. No.

Reference number or formal identification to a resource from which the present resource is derived, e.g. the resource may be a paragraph taken from a book, therefore, this would contain the reference for the original book (e.g. catalogue no., class no., negative no., URL, ISBN, etc.)

Date Added

Date that this record was added to the database.
